Word Office Add-in User Guide
1️⃣ Plugin Overview
This add-in is integrated into Microsoft Word to help users process document content more efficiently. It supports various operations such as translation, explanation, summarization, rewriting, proofreading, and reviewing, suitable for:
- Reading and understanding foreign language documents
- Writing and polishing articles
- Reviewing team documents
- Quickly extracting key information
2️⃣ Preparation Before Use
- Open the Word document.
- Launch the add-in (find and click it in the Word menu bar → Add-ins section).
- Make sure the document is open and editable.
3️⃣ Feature Description
📌 Mode Description
- Full Document Mode (Page Mode): Perform operations on the entire document.
- Selection Mode: Perform operations only on the selected text.
The add-in will automatically display different operation buttons based on the mode.
🛠 Feature Menu
(1) Full Document Mode
When no specific content is selected, the plugin will operate on the entire document. The following features are available:
- Translate Full Document: Translate the document paragraph by paragraph and append the translation after the original text.
- Explain Full Document: Analyze the document paragraph by paragraph and provide concise explanations.
- Summarize Full Document: Generate a summary of the entire document, along with an overall evaluation and suggestions for improvement.
- Review Full Document: Check the content paragraph by paragraph and automatically add review comments.
(2) Selection Mode
When part of the content is selected, the plugin will only process that part. The following features are available:

Translate Selection: Translate into the specified language and replace the original text.

Rewrite & Optimize: Optimize the selected content, with options to:
- Rewrite
- Simplify
- Expand
- Listify
- Outline

Proofread: Check for spelling and grammar errors; if no issues are found, it will prompt "No issues found."

Review: Add review comments to the selected content.

Explain: Explain the meaning of the selected paragraph.
4️⃣ Operation Steps
Example 1: Translate Full Document
- Open the document → Launch the plugin.
- Make sure no text is selected.
- Click the Translate Full Document button → Select the target language (e.g., "English").
- The plugin will translate paragraph by paragraph and insert the translation below the original text.
Example 2: Translate Selected Text
- Select the paragraph or sentence you want to translate.
- Click Translate → Select the target language.
- The plugin will automatically replace the selected content with the translation.
Example 3: Rewrite & Optimize
- Select a paragraph of text.
- Click Rewrite & Optimize → Choose a style such as "Simplify/Expand/Listify," etc.
- The plugin will replace the original text with the optimized version.
Example 4: Summarize Full Document
- Open a long document.
- Click Summarize Full Document.
- The plugin will generate a concise summary and provide an overall evaluation and suggestions.
5️⃣ Interface Description
- Toolbar: Displays available operation buttons, which change depending on the mode.
- Document Icon: 📄 indicates full document mode; 👤 indicates selection mode.
- Close Button: Allows you to exit the plugin or clear the current operation.
6️⃣ QA Testing Points
- Whether the function buttons switch correctly according to the mode (full document/selection).
- Whether the original formatting (font, color, size) is retained after translation.
- Whether the proofreading function correctly detects errors and prompts when there are none.
- Whether review comments can be inserted in the correct position.
- Whether the plugin's close button can properly clear the session state.
7️⃣ Notes
- The plugin depends on Word's editing permissions. Please ensure the document is not protected or read-only.
- Translation and rewriting operations will replace or append text. It is recommended to save a backup before operating on official documents.
- Performing full document operations on long documents may take some time. Please be patient.
